Why Online Fax Services Deserve More Respect

August 2nd, 2010

Somewhere along the line, online fax services, which is a form of “cloud computing” have received some negative comments simply because you’re hosting all your faxing on a third party site. These fax services will only be as good as the quality of the provider hosting them.

Herein lies the problem: not all these services are of the same quality and just one bad apple can give these services a bad name. However, most online fax service providers are top-notch and offer terrific services to their customers and clients. So much so, many online fax users would never dream of going back to the old traditional way of faxing.

Mainly because online or Internet faxing is so much more convenient and offers many more benefits. It is completely portable since you can fax on any device which has web access. It is also cheaper than using a conventional fax machine since there are no monthly fax phone line bills, no papers, inks or toners are needed because online fax is paperless.

It is completely scalable for any individual or company. You can quickly adjust the number of fax lines because there is no additional hardware to install since everything is handled through the web. For a fast growing company this can be extremely important, especially in these harsh economic times.

Internet fax is also seen as the modern way to fax because it connects all your faxing to your computers and the Internet. In the process, it brings your business or company into the modern workplace, one that is connected and open 24/7, 365 days of the year.

This new way of faxing is also seen as more “green” or more “environmentally friendly” because it saves energy, not only because it is paperless but also because there is no need to have that old fax machine in the office running around the clock, burning up power.

Online fax is also much more secure than traditional faxing because your faxes can be encrypted before they are sent. Your sensitive faxes can also be encrypted on your computer to keep them away from prying eyes. You also have your own username and password with your online fax account so only you can read your faxes.

In order to use online fax, you have to first sign-up to a web fax provider who will supply you with your own local or toll-free fax number. You also receive an online account where you can logon and check your faxes. Keep in mind, with web faxing your faxes are sent as email attachments, usually in Tiff or Pdf formats. Monthly charges range from $8 to $10 but there are cheaper services available so it pays to shop around before you sign on the dotted line.

But be careful, like any business service, you have to be sure of the quality of the support and the company you’re dealing with. Thankfully, most top-brand services offer 30 Day Trials where you can check out their services first-hand, before you buy. This way you won’t be disappointed and you will give online fax services the full respect they deserve.

Internet Fax Services - Two Main Reasons To Use Them

July 26th, 2010

While online or Internet fax services have become popular for many different reasons, at the top of the list would definitely have to be mobility and the low cost of operation. These two features alone make online or email fax worth having for any individual or company.

Internet fax services are email and web based so they are completely portable, available anywhere you have Internet access and these days that’s just about everywhere on the planet. This mobility is extremely beneficial because it simply means your business or company is not confined to the office sitting or office hours. Besides being totally convenient, it also means you’re open for business around the clock, 365 days of the year.

In recent years, this mobility or location independence, fits nicely into our increasingly mobile workforce and the “work-at-home” trend which is becoming more commonplace. Using online fax simply means any portable device such as a cell phone, laptop or netbook can be your temporary fax machine. But remember, in order to use online faxing you have to first sign up to a fax provider which will give you a local or toll-free fax number and an online account or interface where you can logon to check and send your faxes. Keep in mind, your faxes are sent as email attachments, usually in Tiff or Pdf format, although there are many different file formats you can use to send your faxes.

The other main reason to use Internet fax services is the low cost of operation. First, since everything is handled online there is no need for an extra fax phone line which can save you money over the long haul and save on your “start-up” costs. Since online fax is paperless faxing, you don’t have the ongoing costs of papers, inks and toners. Plus, you really don’t even need a traditional fax machine for that matter - if you need a “hard copy” of a fax, you can simply print it out.

Online fax services are relatively cheap, especially if your faxing is minimum. You can get a “pay as you go plan” or you can opt for one of the numerous plans which will cost you around $8 - $10 a month. There are also many fax providers which you can choose from and this competition usually means you can get a cheap quality service to perfectly match your faxing needs.

Another way using online fax can save you money has to do with “junk faxes” which cost you money and ties up your machine for legitimate faxes. With web faxing these faxes are not printed out and you can simply delete them from your computer, plus you can block the sender from sending you any more of these useless faxes in the future.

As you can plainly see, Internet fax services are completely mobile and relatively cheap to run. These are two good reasons to start using online fax if you’re not already using it; in the process you can take your company or business into the computer age and save money while you’re doing it, what more can you ask for?

Online fax is a perfect example, it offers new technology which give users many helpful features and benefits which they can’t get from conventional methods of faxing. These unique features have made online fax very popular.

So in case you want to discover more about Internet Fax, here are 10 unique features which make it extremely useful to have:

1. Mobility

Online fax is completely portable since it uses the Internet and your email system to send and receive all your faxes. Once you have signed up to an online fax provider, all you need for faxing is any PC or mobile device which is connected to the web. This means you have a virtual fax machine at your fingertips just about anywhere on the planet - giving you location independence.

2. Email Powered

Actually, online fax is closely related to email since your faxes are sent as email attachments in a variety of formats. It connects all your faxing with one of the most useful communication tools that changed everything - email. And just like using email, sending an online fax is just as easy. This simplicity is one feature which has made email faxing so popular.

3. Equipment Free

The great thing about online fax, you don’t need to buy any new equipment or supplies. Since everything is done through your computer and the web, you don’t need a fax machine or any papers, toners and inks. Plus, you don’t need to install and maintain a dedicated fax phone line in order to use this new way of faxing.

4. Digitized Freedom

With online faxing, all your faxes are in digitized form, which means they can be easily stored, sorted and/or deleted with one click of the button. This offers great convenience since we all have probably searched through mounds of papers or files to find that one fax which we needed. But with Internet fax you can easily search and find the fax you need since everything is conveniently stored in your online account or on your computer. Another area which concerns many is receiving junk faxes; in the old system this can eat up valuable resources and tie up your fax machine, but with online fax you can just delete your junk faxes and you can even place a block on the phone numbers so that you won’t receive any future junk faxes from that source.

5. Simultaneous Faxing

Another great feature of email faxing, you can send or receive countless faxes at once. There are no more missed faxes because of paper jams or busy signals because the fax line was engaged. If your company depends heavily upon faxing to communicate with clients or for bringing in sales, then one can easily see why this feature is very important to have.

6. Fax Broadcasting

Internet faxing lets you send a single fax to multiple recipients at once. This is excellent if you want to send out a fax very quickly, no need to manually feed the fax or type in the fax numbers. It can all be done with one click of the button.

7. Corporate Scalability

Most Internet fax service providers offer custom plans and services to companies which lets them tailor their fax services to match their fax needs. Since everything is handled online and equipment free, any company can scale up or scale down their faxing requirements as the economy or business dictates. This can be a real time and money saver for any growing company or business.

8. Secure Faxing

Another advancement, online fax is much more secure than conventional faxing, since it uses SSL (Secure Sockets Layer) encryption when sending your faxes. This ensures any fax which you send will not be seen or revealed to hackers or anyone wishing to do us harm. This increased security is a major reason many companies have switched over to online faxing, it does offer peace of mind.

9. Auto Confirmation & Auto Alert

Many fax providers will automatically send you a confirmation if your fax has reached its destination. The receiver can even acknowledge that he has received your fax. This offers great convenience especially if it is a time-sensitive fax which has to be dealt with very quickly. Likewise, you can also set up Fax Alerts so that your provider will send you an email alert when you receive a fax. This way you never have to miss another fax again.

10. Auto Resend

Most fax providers will also automatically resend your fax if it is not received the first time. This will increase your chances that the fax will actually reach its destination.

As you can plainly see, online fax does have some special unique features which make it very useful and beneficial for users. And we haven’t even mentioned the cheaper costs or the fact that since its paperless, online fax is usually considered a “Greener” way to fax. Taking all these useful features into consideration, it is no wonder online fax has become so popular.

Online Fax Broadcast - What Is It?

June 8th, 2010

What is an online fax broadcast? Given the growing popularity of Internet or online faxing, this question is being asked much more frequently these days. But what exactly is fax broadcasting and how is it done?

Just as the name suggests it is broadcasting a fax to a large number of recipients at once. And because this type of faxing is web based, you use your email system and your web connection to send or rather broadcast your faxes. Basically, you’re using your email system to send your fax to your contacts via an email attachment. More or less, it is the equivalent of a mass email mailing to your clients.

Of course, in the above scenario it is assumed everyone knows what online fax is and how it is done. Online fax is known by many names: email fax, web fax, fax to email, electronic fax or even computer fax. What you have to remember, online faxing is simply using your computer, your email system and your web connection to send your faxes. The only other element involved is your chosen online fax service provider which handles all your faxes in return for a small monthly charge or fee.

You have to sign-up to one of these providers who will act on your behalf to handle all your faxes. Monthly charges are around $7-$10 and for that price you’re given a local or toll-free fax number and an online fax account or interface where you can log in to check/send your faxes. Most services will have fax broadcasting as a special feature which you can use if you want to contact a large group of people at once. However, you must check this feature first before signing up as not all providers carry this service.

Fax broadcasting is a great convenience because you can “import” your list of contacts into your fax account and then instantly send (broadcast) your fax to these contacts. This is not only quicker but in many cases it can be cheaper, especially if you work out a corporate fax plan rate with your provider. Most of the fax services offer this feature and you can custom your fax plan to meet your specific needs. Your can also in many cases, negotiate special fax broadcast rates in order to save your company some money.

As more and more of our business tasks and communications move into the computer age, online fax broadcasting will probably become more common. Especially when you consider this type of faxing is paperless, inkless, cheaper and much more portable than the old fax machine in the office. Plus, reaching your clients or customers through their cell phones, netbooks, PDAs, PCs, iPads… makes it much more likely your fax will reach your client and will be read.

However, just as email spam can be an abuse of the email system, so too can fax broadcasting, if it’s not used in the proper manner. Just make sure you have your client’s permission to send them your fax and this issue should not be a problem. Legitimate usage of fax broadcasting to contact customers and clients about special events or sales can be of a great benefit to any company or business. It is one avenue which should not be overlooked if you want to directly reach all your contacts instantly.

Online fax broadcasting is a helpful practical service whose time has finally arrived. Are you or your company using it?

Online Faxing - Should You Use It?

June 2nd, 2010

While Internet or online fax has become very popular, there are still many people asking the same question: Should I use online fax? As with any new technology there will be doubters, those who will really question the need for this new way of email faxing. Do we really need this new system of sending a fax?

Ironically, if you ask those people the same question about email, you might get a puzzled look and a response along these lines: “But we have been using email for years!”

While email has become a daily part of our lives, there was a time when it too, was a new technology that many people questioned. The same holds true for online faxing… it is gradually becoming a daily part of our lives and is questioned less and less. However, for those who are new to email faxing some points or features should be discussed or cleared up.

Perhaps, the biggest question is this: “Will anyone see my faxes or are they private?” For the most part online faxing is much more private than the traditional fax machine in the office where anyone can read your faxes. Many online fax providers use encryption while sending your faxes and you get an username and password for your online fax account which only you can access.

Your faxes can also be stored on your computer where they can be secured safely and be ready for your access with the click of a button. This is a real convenience, especially if you receive tons of faxes in the running of your business. Your faxes are readily available whenever you need them.

Another often asked question about online fax: “Just how does it work?”

Online or email fax is simply using your web connection and your email system to send and receive all your faxes. You sign-up to an Internet fax provider who acts on your behalf to handle all your faxing. This provider charges you a small monthly fee (average around $10) for this service. Your faxes are sent as email attachments (Tiff, Pdf or other formats) using your email system.

Mainly because everything is handled online, it is much cheaper than ordinary faxing. There is no need for an extra phone fax line and no need for papers, inks and toners since everything is paperless. The cheaper cost is also the main reason many people are switching over to online fax.

The other main reason is the convenience it provides… you can send and receive your faxes from anywhere at any time, as long as you have access to the web. This makes any mobile or portable device such as a cell phone, PDA, laptop, netbook… a virtual fax machine. Along with this convenience comes ease of use, sending a fax is as easy as sending an email.

Of course, the question remains: “Should you use online fax?”

The answer would depend on your own work habits and whether or not you want to join the modern world? If you’re comfortable with the traditional way of faxing and keeping your business within the 9 to 5 routine of office hours then online fax is probably not for you. However, if you want your business or company easily reachable at all hours of the day and night, 365 days of the year - then online fax is an option worth considering. It can increase the competitiveness of your business especially if you depend upon faxing to bring in sales or for contacting your clients.

No doubt, most of your clients and/or competitors are already using online fax so you will need it to keep up with how things are now done. Just like email has changed how we send our mail, so too, has online fax changed the way we send our faxes. You must use online fax or fall behind - it’s your call?

Online Fax Services - How To Compare The Different Fax Plans Correctly

May 26th, 2010

Everyone has heard the popular saying: “Comparing Apples to Oranges” which usually refers to the comparison of two unlike things that really can’t be compared. Many people make the same mistake with comparing online fax providers - they sometimes confuse fax plans with fax providers. However, to get a true understanding of the service you’re signing up for; you must compare faxing plans to faxing plans and not mix it up with comparing plans to providers.

Now that you’re probably totally confused, further explanation is needed to help everyone understand the difference and what things you have to consider when buying any fax plan.

What probably confuses most people is that each Internet Fax Provider can have 3 or 4 different fax plans. For instance, most fax providers have an inexpensive entry level plan for individuals or companies who only do a minimum amount of faxing each month. Next, most providers have a medium fax plan which caters to those who want to do more faxing over the course of the month. Lastly, most providers have a robust or unlimited fax plan which caters to businesses or companies which send and receive a high volume of faxes within a month, obviously these fax plans are the most expensive and can be customized to suit each company’s unique fax needs.

Another issue that confuses some buyers, many fax providers have a way for their customers to save money by purchasing the annual subscription to their fax plans. This is a common business practice, and it can save you money if you pay for the whole year instead of paying monthly. However, it can be confusing if you see two prices or rates listed for the same fax plan, just remember the lower price will refer to the annual rate.

Perhaps, even more confusing, is the whole issue of how many “free” faxes you are allotted with any given plan. You will often see 300 faxes per month with a fax plan, and this is usually a combined number which refers to both incoming and outgoing faxes. However, with some fax plans this monthly number of faxes could be divided up, for example you’re allowed 200 incoming faxes and 100 outgoing faxes. In other words, you must check any plan to see not only how many faxes are included in the monthly rate but whether or not your plan includes a “certain number” of incoming or outgoing faxes. You have to make sure you’re comparing apples to apples here.

One of the most important items to check when buying any fax plan is the overage charge which you have to pay when you go over your monthly limit of faxes. This charge can range anywhere from 3 cents to 10 cents… might not seem like a lot but these amounts, like your phone bill, can add up quickly. And to confuse you even more, some of these fax providers charge different overage rates depending on whether or not you’re receiving or sending a fax. For example, if you go over your fax limit, it might cost 5 cents to receive a fax but 10 cents to send one. And if that wasn’t enough to get your head spinning… some fax providers charge by the minute rather than by the fax. It is usually assumed it takes one minute to send a fax but larger faxes can take longer and you will be charged by the time rather than the fax.

Another feature you must check with each plan is the number of users it can have. Most fax plans will let you have 1-5 users, sometimes referred to the number of email accounts associated with the plan. Keep in mind, online fax is using your email system and your web connection to send and receive your faxes as email attachments.

Thankfully, a few other features, such as Support Hours, Set-up Fees, Corporate Plans and Free 30 Day Trials are much easier to check or compare. They are all straightforward but you should compare all of these before you sign-up to any one fax plan or provider.

Hopefully, this brief discussion of all the different things you must check, has given you a better picture of the different fax plans on the market and how to compare them. While it is always wise to check out the reputation of the different fax providers, carefully examining the different plans will help you decide which online fax service plan is the right one for you or your company.

Online Fax Server - Is This A Good Idea?

May 17th, 2010

Getting your own online fax server or service can be quite easy but there is a small catch. While signing up for any fax server or service is quite easy and can be done in a matter of minutes, you have to be extremely careful that you pick a quality server with very good customer support. It is the last part which can be a little more challenging.

Since this is an ongoing business service or operating expense, you have to make sure you choose the right one to perfectly match your faxing needs. So it pays to do a little homework now and totally investigate the whole issue of getting and using an online fax server or service.

Just as email has changed how many people do business, Internet fax has changed how many people send and receive their faxes. Both are somewhat revolutionary if one looks at it from the modernization of the everyday workplace because both have changed how business is done. Online fax is using your web connection and your email program to do all your faxing.

But in order to use online or Internet fax you must have an online faxing service provider or server. This provider will act on your behalf to handle all your faxes. They will use their servers to send out your faxes and they have software installed which can receive your faxes and relay them to you via email attachments. You can also access your faxes from an online account and interface. Obviously since everything is web based, you can get and send your faxes from any mobile device such as a cell phone or laptop.

There are many benefits to getting your own fax server and chief among them are as follows:

- web/email faxing is much more convenient
- web/email faxing is cheaper than the old method of faxing
- web/email faxing is paperless so you don’t need any inks, papers and toners
- web/email faxing is web based so you don’t need an extra fax phone line
- web/email faxing is completely scalable for your business
- web/email faxing is much easier than regular faxing

These are all the reasons why you or your company should get its own fax server or service. And perhaps one of the best parts of getting such a service - many of these fax providers have 30 Day Free Trials so you can test out their service before you buy. Most services cost around $10 a month, but there are much more cheaper ones available, especially if your faxing needs are light. On average, you get around 300 combined faxes each month. You will have to pay extra for any overage faxes and the average is around 10 cents per fax. However, there are much cheaper rates available so shop around.

Regardless of which online fax server you choose, just make sure it has reliable customer support and a good quality faxing service which perfectly matches your needs. Do a little homework and in no time at all, you will have your own online fax server.
