Online Fax - Does Your Small Business Need It?

Wednesday, December 14th, 2011

There’s almost no denying that every business or company needs a fax number in order to truly operate in the modern business world. However, there is some strong debate ongoing as to which method of faxing your business should use: conventional fax machine vs. online fax. While there are solid arguments which can be made for each route, does using an Internet or web based fax system rule the day?

One major benefit of using an online fax service is simply the low cost. Your business doesn’t have to install a separate phone fax line and you don’t have the expense of buying a fax machine. In addition, since we are talking about a web based “paperless” faxing, your business won’t have the ongoing costs of buying all those inks, toners and papers. These cost savings can be significant, especially over the long term.

Perhaps, the biggest selling point for using an online fax system has to be ease of use. If you’re not familiar with how this kind of faxing is done, some explanation will prove helpful. Sending a web fax is as easy as sending an email. You simply log into your online account or use your email system to send your message. Your faxes are sent as email attachments, usually as a Tif or Pdf file. Since your message or fax can be encrypted, it is much more secure than sending via the conventional method. Besides, your message is sent directly to the person receiving it, as opposed to having a sensitive fax in the office where anyone can view it.

Another advantage of using an online fax provider, all your messages can be easily stored and filed online or on your company’s computers. Where they can be easily retrieved at any time, regardless of when you received the fax. Plus, no more missed faxes because of busy signals or paper jams… delivery of your message is much more assured.

However, the major reason and real clincher, why your business should have a web or email fax system is portability. Your business is no longer tied down to one exact location, your clients and employees can be reached from anywhere, anytime. Assuming of course, they’re connected to the web, and these days just about everybody is connected since any mobile device such as a smart phone, netbook or laptop, can be used as your fax machine.

Finally, there is one last consideration - competition. Everyone who has ever run any type of business, big or small, will know competition will be your biggest obstacle to whether or not your business will succeed. These days, competition can be brutal, so every company needs all the advantages they can muster. Using an online fax system means your business can be reached anywhere, anytime… your business is open around the clock. Furthermore, these web-based services are completely scalable, you can quickly adjust the number of lines you need in a matter of minutes since there is no extra hardware to install. For a growing company in a very competitive world, this can give your company a competitive edge.

Regardless, of whether or not these points have “sold” you on using a web based fax system, you have to realize most of your competitors are probably already using it. Can you afford not to join them? Like all business decisions, it’s your call.

Why Online Fax Is A Very Efficient Way To Fax

Tuesday, November 1st, 2011

If you’re not familiar with the subject of online fax then many of the following points may just surprise you. But chances are you have probably already heard about online faxing since it has become very popular with both individuals and companies alike. One of the main reasons for this popularity has to do with efficiency.

Online fax is very efficient because it uses all the resources of our modern computer age. Actually, online or email fax connects all your faxing with your computers and the Internet. This may seem minor until you realize it also connects your faxing with your email system and we all know how much email has changed not only how we communicate, but also how we do business. It uses your computer, your email system and the World Wide Web to give you a much more efficient way to do all your faxing.

Let’s start at the basics, in order to use online fax you have to first sign up to an Internet fax service provider, who will supply you with a local or toll-free fax number. Your faxes are sent as email attachments usually in Tiff or Pdf format, but there are many other formats you can use to send your messages. Once you have your online account you can log on to check your faxes or even send them from there. In most cases, you can also send your messages directly from your computer desktop by either using your email system or by using a desktop application which your service provider will give you.

Why is all this more efficient?

Mainly because online fax digitizes all your faxes so that they can be easily handled, filed and stored in your computer. This is a great convenience if your company receives a lot of faxes, no more rambling through countless papers or faxes to find the one you want. Your messages can be neatly stored/sorted on your computer and any junk faxes can be quickly deleted without wasting any of your company’s resources. You can also block the junk fax numbers so that you eliminate any further junk messages from that source.

Next, you have to realize online fax is completely portable or mobile. You can fax anywhere, anytime, since every portable device which is connected to the web can be your fax machine. These days almost everyone and everything is wired to the web, so finding a way to do your faxing will not be a problem. Having this complete mobility at your fingertips makes your faxing much more efficient, especially if you need to contact clients from different locations and at all hours of the day.

Then you have to factor in the point that since online faxing is handled through your computers and email, you will not have any busy signals or missed messages. Plus, you will have no more paper jams or messy inks to deal with in the office. You can also receive and send numerous faxes simultaneously which makes everything much more efficient.

In conclusion, by using online fax, you will have total access to your faxes 24/7, 365 days of the year. This also means, if your company depends upon faxing to bring in sales or clients, then you’re open for business around the clock. What more can you ask for in an efficient faxing system?

Online fax is simply using your email system and your Internet connection to send and receive all your faxes. It is one form of “cloud computing” which has proven very popular with small business owners. Mainly because web faxing has replaced the traditional old fax machine with a faxing system that is accessible anywhere, anytime.

Remember, this is an ongoing business expense so any savings can prove very significant over the long term.

For the small business owners, online faxing is also very convenient not only for its ease of use, but also because it is completely scalable for your business. If you should need extra lines, you can instantly upgrade without the costs of extra hardware (phone lines and machines) which will save you extra money.

Another obvious benefit of using this new way of communicating, there is no lost business because of missed faxes from paper jams and busy signals. Your business never has to miss another fax. You can also send multiple faxes to countless individuals at once or simultaneously.

In conclusion, small business owners can save money by using online fax since there are no start-up costs and the monthly charges are relatively cheap. You don’t have the ongoing costs of an extra phone line, nor the costs of inks, toners and paper. Your faxes are available anywhere, anytime. And if your company depends on faxing to bring in new sales or for communicating with clients, using online fax can make your company much more competitive.

For the small business owner, using an online fax service should be at the top of your list. Signing up to these web services is quite painless and since most providers offer 30 Day Trial offers, you can check out the quality of the service at no cost to you or your company. Monday, June 13th, 2011

The key to running a successful home office or business is automation. This will often require signing up to an online fax service or using a virtual PBX program to run and automate all your incoming and outgoing messages and faxes. Just as we saw email take over much of our snail mail transactions, computer/web based faxing has largely replaced the old traditional facsimile machine in the office.

Basically, what is taking place here, is the gradual shift to using computers and the web to handle most common workplace chores or tasks. Obviously, using computers will not only speed things up, but it can be easily automated to make all these tasks much simpler and much more efficient. Perhaps, the greatest time saver here, is your ability to access your faxes/messages anywhere, anytime. Moreover, your faxes will now be in digital form, so they can be easily filed and stored on your computer and/or in your online account. Retrieving that all important fax now only takes a few clicks of the mouse.

Mainly because these services are in the clouds or a form of “cloud computing”, where all your data and services are hosted on a third party site or with an online provider. For example, in the case of online fax, once you sign up to the provider of your choice - you’re given a local or toll-free fax number and an online account where you can log in to send and receive your faxes. As long as you have access to the web, you can send and receive your faxes anywhere; you are no longer confined to just the office sitting.

Besides this complete mobility, another major selling point of these services, are their cheap rates or prices. Online faxing is much cheaper than conventional faxing for many reasons:

- you don’t have to buy a fax machine
- you don’t need to install an extra dedicated fax phone line
- you don’t have to buy any inks, papers and toners
- you don’t need to have a fax machine running 24/7

Plus, the monthly rates can be specifically tailored to meet your specific needs. In other words, you can buy the cheapest plan which suits your purposes. You can even get a “pay-as-you-go” fax plan which will really save you money. However, there are numerous plans and providers which you can choose from, so picking the right one for you won’t be that difficult. Monthly prices on average, run around $8 to $10 and will give you around 300 to 500 (incoming/outgoing) faxes per month. In most cases, you can save money by going with a yearly payment plan. There are also some unlimited fax plans but you will have to pay more for these plans.

In addition, many savvy business owners opt for a more robust virtual PBX service, where faxing is just one component. By going this route, you also get more features such as voice mail, mail forwarding, even a virtual receptionist to handle all your messages… all the services you need to run and automate your home office or business. Regardless of which system or provider you choose, opting for these computer based online communication services can be a smart business move in these uncertain economic times. Are you or your company using them? It’s your call.

You don’t even need a conventional fax machine and you don’t need to install an extra dedicated fax phone line. All these savings can quickly add up especially when you consider this is an ongoing monthly expense.

How much does online fax cost?

In addition to all of the savings mentioned above, the monthly charge or fee for having an online fax account or number is quite low. If you do very little faxing, you can get a yearly subscription for around $20 or you can even get a “pay-as-you-go” service which also will be very inexpensive. However, an average plan will cost you around $8 to $12 per month, which will give you around 300 to 500 faxes (incoming/outgoing) per month. Like any business service, it does pay to shop around to find the best fax service plan and provider to perfectly meet your needs. Also be aware that there are corporate plans available if you should need a more robust faxing system.

But it’s all about the freedom.

Despite these low costs and other benefits, online fax is all about the freedom. It gives your workforce or company the freedom to communicate through a portable mobile system that’s available anywhere at any time. It liberates your workforce and gives them the freedom to work anywhere, especially when combined with other communication tools of the modern era such as computers and the web. Online Fax Guide Updates Its Internet Fax Service Providers Listings

Tuesday, September 28th, 2010

September 28, 2010. Recently, OnlineFaxGuide.com, a comprehensive Internet fax comparison guide, updated several of its online fax service providers’ listings to reflect the lower prices and better conditions offered to the average fax user. Most noticeably, those of MetroFax, RingCentral and Nextiva Fax had to be updated.

MetroFax, operating out of Seattle, has eliminated its one-time setup fee and reduced its porting fee to $24.95. MetroFax has also made some sweeping changes with its design, introducing a new Dashboard and logo. Users can now save their faxes for up to 90 days and text message (SMS) notifications can be made to mobile phones to make sure MetroFax users are never “out of the office” and miss an important fax. MetroFax offers fax numbers in the Top 100 cities in 48 states and Puerto Rico.

RingCentral has changed its popular Fax 300 Plan to the Fax 500 Plan, increasing the number of free pages up to 500 without changing the $9.89 monthly rate. It has also increased its online storage to unlimited - for up to 200 messages.

Nextiva also lowered its monthly charges for its popular Nextiva Fax 500 Basic plan will be $8.95. Of course, those customers who opt for the annual plan will pay only $59.40, which is the equivalent of paying $4.95 per month. Nextiva now also offers Toll-Free numbers as well as local numbers.

“We are seeing some intensive competition among the different online fax providers,” states Titus Hoskins, a former teacher who now runs OnlineFaxGuide. “And with this competition comes the lowering of rates and fees, as these providers compete for customers around the globe.”

Considering online or email faxing is a relatively new service, the consumer base is extremely large and expanding as more and more of the world’s population acquires Internet access. And when one factors in the possibility that every email holder can be a potential online fax customer, the market is indeed very large.

For those not familiar with Internet or online fax, a quick explanation is probably needed. Online faxing is simply using your current email system and your web connection to send and receive all your faxes. It is a very simple form of “cloud computing” where all your fax services are outsourced to a third party fax provider who acts as an intermediary to handle all your faxes, which are sent as email attachments usually in a Tiff or Pdf file.

This new modern way of faxing has many advantages over conventional faxing. Mainly, online fax is cheaper, more secure, more mobile and much more convenient than using the old fax machine in the office. Moreover, there are no start-up costs since everything is handled online so there is no need for an extra fax phone line. Plus, since online faxing is paperless faxing there is no need for papers and inks.

In order to use online fax, you first have to sign-up to a fax provider who charges you a small fee which on average will be around $8 to $10 a month, but there are cheaper services available so it pays to shop around. All these different Internet fax service providers have slightly different plans and fees, which sometimes makes it difficult to choose the right fax service to meet all your faxing needs. This is where a handy comparison site like OnlineFaxGuide enters the picture and helps potential customers make the right choice for themselves and/or their company.
