Online Fax – Why Should You Fax Online?

November 15th, 2010

The traditional fax machine in the office has many good points going for it, but it can’t compete with all the features one gets with an online faxing program. This new modern way of sending faxes has many more features which have proven very popular with individuals and especially with companies.

First and foremost, you have to realize online fax gives you a digital version of your message, one which fits neatly into our computerized world. A digital message which can be easily stored and securely filed for ready access. This keeps all your messages private and away from prying eyes. It also makes it very easy to transmit all your messages from many mobile devices such as laptops and smart phones.

Second, perhaps the greatest selling feature for online fax is portability or unlimited accessibility. Your messages are available where ever you have Internet access and these days that’s just about anywhere on the planet. With online faxing you and your business is no longer confined to the office setting or even office hours for that matter since there is 24/7 accessibility.

Third, sending your messages online is extremely easy. Actually, it is as easy as sending an email since your faxes are sent as email attachments, usually in Tiff or Pdf format. This ease of use also applies to sending a message online where you simply log into your online fax account and carry out your business. In addition, many providers will give you a desktop application which you can download to your computer desktop and send/receive your faxes from this location.

Fourth, scalability is very important for many businesses and companies which have to quickly scale up or down their faxing needs. You can get a custom designed plan to perfectly match your company’s needs. This can be a great cost-saver, especially if your company does a lot of fax broadcasting, you can send a single fax to a large group of recipients with one click of the mouse.

Fifth, using an online system or server can save you money because this is paperless faxing. You don’t need any inks, toners, papers or even a dedicated fax phone line. All these expenses can add up over the course of running your business. Going with this cheaper option is a no-brianer for most companies.

In addition, with an online system you get many more features such as:

- delivery confirmations
- toll-free or even vanity numbers
- total web accessibility
- fax alerts or notifications
- message forwarding
- contact list or address book

As you can plainly see, there are many features and many reasons why you should do all your faxing online. Plus, signing up can be done within a few minutes and most online providers have a free 30 Day Trial period so you can check out their services before you buy. Monthly rates run around $8 to $10 but there are much cheaper options, especially if you buy into a yearly plan. Corporate Fax Plans – Can They Really Save Your Company Money?

November 9th, 2010

In these uncertain economic times, many companies are still trying to cut operating expenses and overhead, that’s where obtaining a corporate online fax plan can be a real money saver. Most company managers know buying in bulk and arranging special volume sales can be one of the best ways of cutting down on your expenses. The same goes with your company’s faxing program or system.

Basically, Internet or online fax is a form of “cloud computing” where your faxing services are outsourced to a third party provider or server. This provider acts as your intermediary to handle all your company’s faxing requirements. And because everything is web and computer based, online fax is often referred to as “paperless” faxing.

Going with a custom designed corporate fax plan for your company can have many benefits and advantages. First, you must realize this whole process is completely secure and safe. Actually, since your messages can be encrypted, this may be more secure than conventional faxing. And since your faxes are delivered to your inbox as email attachments, only the rightful recipients will see them. They are also digitally stored on your computer, away from prying eyes.

Online fax is completely mobile and portable, any device such as a cell phone or laptop can be used as a fax machine. If you have a mobile workforce this fact alone, will prove very beneficial. Your communications and messages are available anywhere, anytime… so your business is no longer confined to office hours or even an office setting for that matter; truly liberating the potential of your workers and your business.

Going with a custom corporate fax plan is also very cost-effective since you can easily scale up or down the number of fax lines, without having to install extra hardware (fax phone lines and fax machines). Any company can easily adjust their faxing plans to meet their current business requirements without any hassles or delays. Plus, you have to realize since this is paperless faxing, you don’t have the monthly costs of papers, inks and toners.

These corporate programs can be tailored to meet all your faxing needs, especially when it comes to fax broadcasting. You can quickly send a single message to countless recipients with a few clicks of the mouse. If your business depends upon faxing to bring in sales or communicating with clients, this can prove very beneficial to your company.

Now, regular faxing plans run on average $8 to $10 a month which will give you around 500 (incoming/outgoing) faxes, but if you want a more robust corporate fax plan, most of the major providers do have these in place for their corporate clients. You can custom design your own plan to meet your exact needs. Many companies, especially those just starting up, go with a whole virtual PBX system, such as those provided by RingCentral, a major player in this type of work.

However, a prudent manager or company owner shouldn’t rule out some of the lesser known online fax providers such as MetroFax out of Seattle and Faxage out of Denver. These relatively smaller providers can offer custom plans and services, perhaps better than the really large providers, where you have more of a chance to get lost in the crowd.

Regardless of which provider you choose, going with a corporate fax plan might just be a smart business move on your part. You get a custom designed system that is completely portable, scalable, secure, extremely efficient and very cost-effective. In the process, you will save your company money in operating expenses. It’s your call?

Online Fax Service – Know Exactly What You’re Buying

October 14th, 2010

Online fax services have become very popular in today’s “outsourced” working environments and may even some day replace the old traditional fax machine. These outsourced fax services are a simple form of “cloud computing”, where your business tasks are handled by a third party; in this case, all your faxing needs.

An online fax service simply uses your current email system and your web connection to send and receive all your faxes. In this new modern way of faxing, your faxes are sent as email attachments in a variety of formats (mostly Tiff or Pdf). In order to use such a fax service, you must first sign up to an online provider, who will act as an intermediary on your behalf.

However, like outsourcing any business task to a third party, you must do your homework or it could cost your company in time and money. You must thoroughly check out any online fax service you plan on using and make sure it is a quality service with good support. Here are some factors to consider to make sure you get the right fax service for your needs.

Compare The Prices, Rates and Plans

You must first carefully compare the different fax providers and their plans. This includes the monthly fee or charge and how many faxes (incoming and outgoing) you can send/receive each month. You must also check how many users or email addresses are allotted to each account. You must also check the overage fees which are charged if you go over your limit for the month, this charge can range from 3 to 10 cents so it pays to shop around.

Methods Of Faxing

Each online fax service provider may have certain ways to use their services, many can be used with your email program such as Outlook Express, Microsoft Office or even a desktop application which lets you send and receive your faxes on your computer desktop. Most, if not all, of these fax providers will give you an online account or interface where you can log on to check and send your faxes. Keep in mind, your faxes can also be stored in your account but each provider has different storage limits and rules, so check these before you buy your fax service.

Corporate Plans & Scalability

Most of these providers will offer corporate plans which can be custom fitted to suit your company’s faxing needs, especially if you do large volumes of faxing. You can probably also get discount rates so check this out before you buy. In addition, check the scalability of the faxing plan, can you easily add or subtract fax numbers should you need to?

Support Hours & Quality Of Service

Another important factor you should check are the support hours and the quality of this support. Are your questions answered quickly? Are your problems solved swiftly? These are really important factors you must check before you buy.

Set-up & Free 30 Day Trials

You must check out how much it is to set-up your fax number and service. Most providers don’t charge you a set-up fee and usually you have a choice of a local or toll-free fax number. But some times these providers will charge extra for a toll-free number so check this first. Thankfully, most of the well known online fax services will offer a Free 30 Day Trial period where you can check out the quality of their service before you buy.

Finally, if you check out all of the points above, finding an affordable online fax service which will meet all your faxing needs should not be a major problem. Just keep in mind, this is usually a long-term or ongoing business expense, so it does pay to do a little research now and save yourself from any headaches and problems in the future.

Why Is Online Faxing Cheaper Than Conventional Faxing?

October 12th, 2010

One of the main reasons why online fax services have become so popular simply has to do with pricing. It is much cheaper than conventional faxing for numerous reasons and those reasons are listed below. Any potential customer or user of these online faxing services should prudently examine the costs involved and decide if this new way of faxing is viable for themselves or their company.

No Start-up Costs

Since online faxing is a simple form of “cloud computing” everything can be out-sourced to a third party. All your faxing is handled through the Internet and your current email system so there are virtually no start-up costs. You can have your local or toll-free fax number up and running within minutes and because most providers offer a 30 Day Trial, you will have to pay nothing up-front.

No Extra Hardware

Since your faxes are sent as email attachments (usually in Tiff or Pdf format) you don’t have the expense of buying a fax machine. And because online faxing is paperless, you don’t have the ongoing costs of papers, inks and toners… all of which can add up in the old traditional way of faxing.

No Extra Fax Phone Line

Perhaps one of the biggest cost-saving expense with Internet faxing, there is no need for an extra fax phone line. And no more missed faxes because of busy signals, which can also save your company money especially if you depend upon faxing to bring in sales.

Low Monthly Charges

These providers on average, charge around $8 – $10 per month which will give you around 500 combined (incoming & outgoing) faxes. Overage fees usually run around 5 to 10 cents per fax, keep in mind, some providers charge by the minute instead of by the fax. International rates may be higher so you should check with the provider if you send a lot of International faxes.

Completely Scalable For Business

Another great benefit of using online faxing is scalability, any company can scale up or down their faxing services without purchasing extra hardware or equipment. This can also be a great cost-saving feature of these email fax services. There is also fax broadcasting which lets a company quickly send a single fax to a large number of recipients with one click.

The Cost Of Being Competitive

Perhaps one of the intangible cost savings has to do with the competitive nature of having a faxing service which is available 24/7, 365 days of the year. Your business is open and reachable anywhere, anytime… no matter where you or your employees are located. This can make your company more competitive and bring in more sales or business. It may even give your company the edge it needs to succeed in these harsh economic times.

Finally, any individual or company will have to examine all these costs savings listed above and decide for themselves whether or not online fax is suitable for them. If you only send a couple of faxes each month, then changing your current system may not be in your best interest. However, if faxing plays a major role in the smooth running of your business and you do a lot of faxing each month; then checking out these online faxing services may just be worth your while and may just save your company big bucks in operating expenses, especially over the long haul.

Online Fax Guide Updates Its Internet Fax Service Providers Listings

September 28th, 2010

September 28, 2010. Recently, OnlineFaxGuide.com, a comprehensive Internet fax comparison guide, updated several of its online fax service providers’ listings to reflect the lower prices and better conditions offered to the average fax user. Most noticeably, those of MetroFax, RingCentral and Nextiva Fax had to be updated.

MetroFax, operating out of Seattle, has eliminated its one-time setup fee and reduced its porting fee to $24.95. MetroFax has also made some sweeping changes with its design, introducing a new Dashboard and logo. Users can now save their faxes for up to 90 days and text message (SMS) notifications can be made to mobile phones to make sure MetroFax users are never “out of the office” and miss an important fax. MetroFax offers fax numbers in the Top 100 cities in 48 states and Puerto Rico.

RingCentral has changed its popular Fax 300 Plan to the Fax 500 Plan, increasing the number of free pages up to 500 without changing the $9.89 monthly rate. It has also increased its online storage to unlimited – for up to 200 messages.

Nextiva also lowered its monthly charges for its popular Nextiva Fax 500 Basic plan will be $8.95. Of course, those customers who opt for the annual plan will pay only $59.40, which is the equivalent of paying $4.95 per month. Nextiva now also offers Toll-Free numbers as well as local numbers.

“We are seeing some intensive competition among the different online fax providers,” states Titus Hoskins, a former teacher who now runs OnlineFaxGuide. “And with this competition comes the lowering of rates and fees, as these providers compete for customers around the globe.”

Considering online or email faxing is a relatively new service, the consumer base is extremely large and expanding as more and more of the world’s population acquires Internet access. And when one factors in the possibility that every email holder can be a potential online fax customer, the market is indeed very large.

For those not familiar with Internet or online fax, a quick explanation is probably needed. Online faxing is simply using your current email system and your web connection to send and receive all your faxes. It is a very simple form of “cloud computing” where all your fax services are outsourced to a third party fax provider who acts as an intermediary to handle all your faxes, which are sent as email attachments usually in a Tiff or Pdf file.

This new modern way of faxing has many advantages over conventional faxing. Mainly, online fax is cheaper, more secure, more mobile and much more convenient than using the old fax machine in the office. Moreover, there are no start-up costs since everything is handled online so there is no need for an extra fax phone line. Plus, since online faxing is paperless faxing there is no need for papers and inks.

In order to use online fax, you first have to sign-up to a fax provider who charges you a small fee which on average will be around $8 to $10 a month, but there are cheaper services available so it pays to shop around. All these different Internet fax service providers have slightly different plans and fees, which sometimes makes it difficult to choose the right fax service to meet all your faxing needs. This is where a handy comparison site like OnlineFaxGuide enters the picture and helps potential customers make the right choice for themselves and/or their company.
